WMS OCLC Guide: Interlibrary Loan

In OCLC, 

The ability for staff to perform interlibrary loan (ILL) functions through WorldCat Discovery is based on a user's assigned role, not their status as a user alone. To get access, a staff member must have a specific WorldShare ILL role assigned to their account by an administrator. 

Required ILL roles for staff

For a staff member to have ILL permissions, their account must be assigned one of the following WorldShare ILL roles: 

  • WorldShare ILL Admin: Grants full administrative rights, including the ability to approve patrons, assign roles to other users, and configure settings.
  • WorldShare ILL User: Allows staff to perform ILL tasks, such as creating requests for patrons directly within the WorldCat Discovery interface using the "Staff ILL Request" button. 

How ILL roles are assigned

  • Admin-level permission is required: Only a user with the WorldShare ILL Adminrole can assign other WorldShare ILL roles to staff accounts.
  • Administrative workflow:
    1. An ILL admin at the library goes to the "Admin" tab in WorldShare.
    2. They search for the staff member's account.
    3. They navigate to the "Roles" section and add the appropriate WorldShare ILL role.
  • Separate from basic staff access: A staff member with a general WorldCat Discovery Staff role can access staff-specific features within the discovery interface, but they cannot perform interlibrary loan actions unless they also have an ILL role. 

WorldShare ILL OpenURL form can be integrated into a variety of discovery services and interfaces, including the ones you mentioned. This allows library patrons to submit interlibrary loan requests directly from a search result, with the form pre-filled with the item's bibliographic information. 

How it works with different platforms

  • Discovery services (like EDS): The WorldShare ILL request form can be configured to appear as a custom link or button within the library's discovery service. When a user finds a desired item that isn't available locally, they can click the button to launch the OpenURL-based ILL form, which is populated with the correct metadata.
  • Publication Finder: Similar to a discovery service, you can configure an OpenURL link to the WorldShare ILL form within your library's Publication Finder. This provides a direct path for users to request articles or journals that are not part of your library's electronic collection.
  • BrowZine: BrowZine is primarily for browsing journals, but it allows for integration with other library services, including ILL. A custom link to the OpenURL form can be configured to help users request articles that are not available through your institution's subscriptions. 

Key requirements

To enable this functionality, a library administrator must complete the setup in the OCLC Service Configuration: 

  1. Configure the OpenURL resolver: The OpenURL resolver for the WorldShare ILL request form needs to be created or registered within the OCLC Service Configuration.
  2. Add buttons in your services: The OpenURL 1.0 button must be configured and enabled within your library's specific discovery service (like EBSCO Discovery Service) or other platforms.
  3. Include proxy information: If users are accessing resources from off-campus, you will need to add your library's EZproxy or other proxy information to the OpenURL for proper authentication.
